Receipt template sets

Customize receipt templates by creating one or more template sets.

Receipt templates control how receipts are formatted when they are displayed during checkout, printed, or sent to a customer via email or text message.

We provide a collection of sample receipt templates to help you get started. To customize receipts, create one or more template sets. In the relevant environment, you can then assign a template set that is used as a fallback by all locations. You can also create override sets and assign them to the environment or to one or more locations to supersede the fallback set. Unlike parameters, receipt template sets cannot be assigned at the workstation level.

Template set assignments are evaluated and updated when the InStore colleague app is invoked.

Create a fallback template set

A fallback set can be assigned to the environment. To learn more about fallback sets, see Inheritance.
  1. In the InStore Center, go to Receipt Templates.
  2. On the Receipt Template Sets page, click Add Template Set.
  3. On the Edit Template Set page, complete the following information on the Template Set pane:
    • Template Set Name: provide a short, recognizable name for the parameter set, which is displayed when you are selecting a set, for example, Environment Fallback.
    • Template Set Description: provide an explanation of this set's purpose, for example, Fallback environment-level templates.
    • Start Date: leave this blank for the fallback set.
    • End Date: leave this blank for the fallback set.

You must add templates to the set before you can save. To do this:

  1. In the InStore Center, on the Templates pane, click Add Template.
  2. On the Select Templates page, move the selected template to the right, then click Add Template(s).
  3. On the Templates pane, click the Edit icon to customize a template to suit your business practices.
  4. On the editable page for the selected template, make any required changes. For more information about receipt data, see Receipt data fields.
  5. Click Save Changes.
  6. Repeat steps 6-8 until all templates are updated with your changes.
  7. On the Environment page, select this set in the Template Set field and save.

Create a template set override

An override set can be assigned to the environment or a location. To learn more about override sets, see Inheritance.
  1. In the InStore Center, go to Receipt Templates.
  2. On the Template Sets page, click Add Template Set.
  3. On the Edit Template Set page, complete the following information on the Template Set pane:
    • Template Set Name: provide a short, recognizable name for the parameter set, for example, 2024-25 Holiday Season Zone 8.
      If this set replaces another set in a series, use the same name to ensure accurate evaluation. For more information, see Inheritance.
    • Template Set Description: provide an explanation about why this set is needed, for example, Sets holiday on-hand cash for all Zone 8 locations. It is possible to create an override set that replaces the fallback set at the environment level and affects all locations.
    • Start Date: optionally, provide a date when you want this set to take effect.
      If this set is part of a series, the set with the later start date takes priority over sets with an earlier start date. For more information, see Inheritance.
    • End Date: optionally, provide a date when you want this set to stop taking effect. When the end date arrives, the application reverts to the fallback set if no other set has a Start Date that has taken effect. If you want the set to apply to a location indefinitely, leave this blank.

    You must add templates to the set before you can save.

  4. On the Templates pane, click Add Template.
  5. On the Select Templates to Add to the Set page, select only the templates that should not inherit the fallback values, based on whatever special need led you to create this temporary set.
  6. Click Add Template(s). The Templates pane lists only the templates you selected.
  7. Click the Edit icon to change the value for each template that is listed.
  8. On the editable page for the selected template, make any required edits. Refer to Receipt data fields for guidance.
  9. Click Save Changes.
  10. In the settings for the Environment or for one or more Locations, select this override set and save.

Delete templates or sets

You can delete individual templates from a set. This results in a new version of the set. To delete a template from a set:

  1. In the InStore Center, go to Receipt Templates.
  2. On the Template Sets page, find the set and click Edit in its Actions column.
  3. On the Templates pane, find the template and click Delete in its Actions column.
  4. Confirm the deletion.
You can delete a template set. All versions of a deleted set are labeled as Deleted when retrieved in Parameter history. To delete a set:
  1. In the InStore Center, go to Receipt Templates.
  2. On the Template Sets page, find the set and click Delete in its Actions column.
  • Do not delete your global fallback set without having a replacement set up.
  • If you delete one template set, all template sets with the same name are deleted.
